Larchmont ES PTA Meeting Minutes, respectfully submitted by Elizabeth Janik
Attendance: Elizabeth Janik, Rebecca Springfield, Liz Philpott, Stuart White, Kristen Lassalle, Amanda Hill, Jen Barkan, Allison Erkelens, Pat Melise, Dee Crisco, Chris Voter, Jennifer Mann, Bug Gallagher, Amy Gilmore, Julie Walsh, Ellen Chamberlain, Audra Hansen, Matt Vroom, Artie Hill, Luna Magpili, Vicky Greco
Welcome and introductions – Amanda Hill called the meeting to order at 7:15, and all present introduced themselves, including Ms. Dionne Crisco, the school’s new assistant principal.
Treasurer’s Report – Jen Barkan distributed copies of the budget for the upcoming year.
Jen relayed a request from Ms. Kitterman that the PTA cover the cost of kindergarten weekly readers (approx. $550), so that the teachers wouldn’t have to collect $4 contributions per student. Amanda said that this wasn’t in this year’s budget, but that there is $300 allocated for student assistance. Dr. Melise pointed out that every grade year has extra items to paid for, and that approving just one special request could be difficult. She suggested that the teachers could use some guidelines as to what items might be requested from PTA funds. After some discussion, it was agreed that the PTA should ask teachers for funding requests as a part of next year’s budget process, and that this fall the student assistance fund could be used if needed for some weekly readers. Liz Philpott suggested that room parents might also ask for extra donations from parents.
Jen asked everyone to please fill out any funding request forms completely.
President’s Report – Amanda noted that members must pay this year’s dues in order to have full access to the Larchmont PTA website.
Amanda asked for advice whether or not to hold a PTA general meeting as currently scheduled for 9/6. The meeting (with magic show to entertain kids) was intended as a way for the committee chairs to introduce themselves and recruit volunteers, but she’s now concerned that this would add too much to a busy first week of school. After some discussion, the consenus was to cancel the meeting and instead distribute a form listing volunteer opportunities at the Friday Meet & Greet. Bug Gallagher agreed to link the form to the upcoming e-newsletter. Since Eric Peterson, the RAT Race chair, can’t attend the business meeting on 9/10, it was agreed to reschedule this meeting too.
Amanda announced that Ms. Mayer is no longer able to coordinate the author visit in the spring, so a new chair will be needed.
Principal’s Report – Dr. Melise reminded the membership about the NPS Strategic Planning Community Forms hosted by Superintendent King to be held on 8/28 and 9/12. (More information is available on the NPS website.)
She announced this year’s staffing changes: Mr. Alley Dariah is the new 3rd-grade teacher, and Ms. Humphrey Morgan is the new gifted resource teacher. Ms. Garris has been reassigned to Norview and Granby Elementary schools.
Dr. Melise raised the question of how to encourage all teachers to join the PTA, particularly since the Larchmont organization covers their cost of membership. Amanda said that she would give out this year’s PTA teacher checks at the welcome breakfast only after teachers filled out their membership forms.
Artie Hill asked about the school website and if it could be updated more regularly. Dr. Melise stated that teachers are responsible for maintaining their own sections of the site, but unfortunately the website is often a low priority.
Welcome Back Breakfast for Teachers – will be held at 8 am on 8/28. Bev Rainey will arrive to begin set-up at 7:15.
Meet and Greet – will be held on 8/31, beginning with new student orientation at 10 am. Amanda confirmed which committees will need tables at the event.
RAT Race – will take place on 9/21. Amanda announced that Ginger White has a conflict this day, so a party coordinator is needed for the day of the event. Bug agreed to advertise for this position in the upcoming e-newsletter. Liz Philpott would like suggestions of any school or community groups that might be interested to volunteer as a team.
Website – All committee leaders should look online to see if their information is accurate; please send any updates to Patrick McCarty.
Reporter/Newsletter – Please send information to Bug by Sundays for it to be included in the following week’s e-newsletter. Kerry Solan needs information by tomorrow (8/27) for the upcoming Reporter.
Membership/Directory – Jen Mann encouraged everyone to sign up online, which makes processing the information much easier. A contest will be held this year to encourage families to join – the classroom with the most PTA members will get a popsicle party. Jen proposed using this year’s membership budget for the directory and member decals.
Open House – will be held on 9/13 at 6 pm. Amanda confirmed who needs tables for this event.
Afterschool clubs – Amy Gilmore announced that afterschool clubs will be offered for four weeks on Mon/Tues/Wed. in October. So far, only two clubs (Scrabble and field hockey) have been confirmed, so new club suggestions and volunteers are welcome. This year there will be a short snack before the clubs begin.
Other business – After further discussion about whether to reschedule the 9/6 meeting with magic show, consensus remained to cancel the event. The next PTA meeting will be a board/business meeting on Monday 9/10, at 6:30 pm at LES. It was agreed that the Fall Festival could be used as an opportunity to recruit volunteers.
